Outlook - How to Archive and Compress
 your Outlook File

To Archive Old Messages from your Outlook File

  1. In Outlook, click File, Archive

  2. Select Appropriate Folder to archive messages from (Either Inbox if all your subfolders are under Inbox or Personal Folders if your folders are “all over the place”)

  3. Select Date to archive all messages “Older Than”

  4. Select Location of the Archive File. 

  • Click Browse and then change to My Documents, then Outlook (if it exists.  If not, just store in My Documents)….

 

 

  1. Click OK.  The Archive may take a while (several hours maybe) if you have a lot to Archive.
     

Next, when the archive is done, you’ll need to compress your Outlook file.  Even though the messages have been removed, Outlook isn’t smart enough to “reclaim” the space from the delete messages.  You have to manually do that.

  1. Close Outlook

  2. Open Control Panel (Start, Settings, Control Panel)

  3. Double click Mail

  4. Click Data Files

  5. Click Settings, and then Compact Now.  Again, this may take several hours.
